Step-by-Step Instructions
Step 1: Access Integrations
Navigate to Dashboard → Integrations section.
Step 2: Initiate Connection
Find the “Pay On-Site” option in the Payment integrations and select “Connect” beneath it.
Step 3: Configure Display Settings
In the connection modal, set the “Display Name” customers will see at checkout (defaults to “Pay On-Site”). Optionally, add Instructions to guide customers on how to pay at the appointment — for example, accepted payment methods, cash amounts, or bank transfer details.
Step 4: Choose Auto-Confirm Behavior
Toggle “Auto-confirm bookings” based on how you want to handle reservations. When ON (default), bookings are confirmed immediately even though payment is still due. When OFF, bookings stay in Pending status until you manually approve them, giving you a chance to vet customers before reserving the slot.
Step 5: Save the Integration
Click “Connect”. Timetics AI saves the configuration against your workspace, and “Pay On-Site” becomes available as a payment method on your public booking pages.
Step 6: Verify Connection
After the connection succeeds, select “Details” to confirm Onsite Payment is properly enabled. You will see a status badge along with your saved display name, instructions, and auto-confirm preference.
Step 7: Disconnect (Optional)
To remove the integration, open the Details view and click “Disconnect”. Onsite Payment will no longer be offered as a payment option for new bookings.
Key Functionality
Once integrated, “Pay On-Site” appears alongside Stripe and PayPal as a payment method on the public booking page. When a customer chooses it, they see your configured instructions and a confirmation message that payment is due at the appointment, then click “Confirm Booking” to reserve the slot. Timetics AI creates a pending transaction with the full booking amount as the due balance — no external gateway is called, since the funds are collected in person. If auto-confirm is enabled, the booking status moves straight to Confirmed; otherwise it remains Pending until you approve it from the booking details view.
Marking Onsite Payments as Paid
After the appointment, you can record the payment from the booking details view. Open the booking from Dashboard → Bookings, scroll to the Payment Summary panel, and you will see the Paid amount, Due amount, and a Payment History list. While the due amount is greater than zero, a “Mark as Paid” button is shown next to the pending transaction.
Click “Mark as Paid” to open the confirmation dialog. Leave the Amount field blank to record the full due balance, or enter a smaller value to log a partial payment — the booking will move to Partially Paid until the remaining balance is also marked. Add an optional Note (for example, “Paid in cash on arrival” or “Bank transfer received”) to keep an audit trail against the transaction. Click “Confirm” to save.
Timetics AI updates the transaction status from Pending to Paid (or Partially Paid), refreshes the Payment Summary with the new balances, appends the entry to the Payment History list, and sends a “Payment Received” email to the customer. If the booking becomes fully paid and was previously pending, its event status is automatically promoted to Confirmed.
Prerequisites
- Active Timetics AI account
- Workspace admin access to the Integrations and Bookings sections
- A workflow for collecting payment in person (cash, card terminal, bank transfer, etc.)
Notes
Onsite Payment is a workspace-level integration, so the same display name, instructions, and auto-confirm setting apply to every paid booking that uses this method. Unlike Stripe and PayPal, no funds move through Timetics AI — the platform only records the obligation and tracks when you confirm receipt, so reconciliation with your own books is your responsibility. The “Mark as Paid” action supports partial payments, which is useful for deposits or split tenders, but only fully paid bookings auto-confirm if auto-confirm was disabled at connection time. The audit note attached to each Mark as Paid action is preserved against the transaction for future reference and is visible in the Payment History list.
